This Privacy Policy describes how James Godin Vacation Rental Cleaning ("HostViewApp," "we," "us," or "our") collects, uses, and shares information when you use our service through hostviewapp.com, portal.hostviewapp.com, admin.hostviewapp.com, and any related subdomains (collectively, the "Service").
We are based in Vassalboro, Maine, United States, and serve vacation rental property owners and managers, primarily in Kennebec County, Maine.
1. Information we collect
Information you provide directly
- Account information: name, email address, phone number, password (stored as a one-way bcrypt hash — we never see or store plain-text passwords).
- Property information: address, bedrooms, bathrooms, access codes, supplies inventory, special instructions, photos, and other operational details you choose to share to enable cleaning service.
- Communications: messages you send through the in-app chat, support emails, and other correspondence.
- Payment information: handled exclusively by Stripe, our payment processor. We never see or store full credit card numbers, bank account details, or CVV codes. Stripe stores a customer ID and the last 4 digits of any payment method on file.
Information collected automatically
- Usage data: pages viewed, features used, IP address, browser type, and device information.
- Service operation data: photos, checklist completions, time-on-site, location data (if you opt into mileage tracking), and other metadata generated as turnover jobs are performed.
- Cookies and authentication tokens: we use cookies and browser local storage to keep you logged in.
2. How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service;
- Schedule, perform, document, and bill for cleaning turnovers;
- Send transactional emails (account invitations, login links, invoices, completion notifications, issue reports);
- Communicate with you about your account, properties, and jobs;
- Process payments through Stripe;
- Improve the Service and develop new features;
- Detect, prevent, and respond to fraud, security, and abuse issues;
- Comply with legal obligations.
3. How we share information
We do not sell or rent your personal information. We share information only in the limited circumstances described below:
Service providers (sub-processors)
We use a small number of trusted third-party services to operate HostViewApp. These providers process data on our behalf under contractual confidentiality and data-protection obligations:
- DigitalOcean (United States) — cloud hosting and database storage. Photos are stored on DigitalOcean Spaces.
- Stripe (United States) — payment processing. See Stripe's privacy policy.
- Resend (United States) — transactional email delivery (account invites, login links, notifications). See Resend's privacy policy.
- Let's Encrypt (Internet Security Research Group) — TLS certificate provisioning for HTTPS connections.
Legal compliance
We may disclose information when required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.
Business transfers
If HostViewApp is involved in a merger, acquisition, or sale of all or part of its assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
4. Data retention
We retain your information for as long as your account is active and as needed to provide the Service. Job records, photos, invoices, and messages are retained indefinitely so you have a complete history of your properties' cleaning operations. You may request deletion of your account and associated data at any time by emailing cleaning@hostviewapp.com; we will fulfill the request within 30 days, except where we are required to retain certain records for legal, tax, or accounting purposes.
5. Security
We take reasonable and appropriate measures to protect your information from unauthorized access, disclosure, alteration, or destruction. These measures include:
- HTTPS / TLS encryption for all data in transit;
- Bcrypt password hashing (12 rounds);
- Per-user authentication tokens (JWT) with limited lifetimes;
- Role-based access controls — customers can only see their own properties and data;
- Hosted on a private server with restricted SSH access;
- Regular software updates and security patches.
No method of electronic transmission or storage is 100% secure. While we work hard to protect your information, we cannot guarantee absolute security.
6. Your rights
You have the right to:
- Access the personal information we hold about you;
- Correct inaccurate or incomplete information;
- Delete your account and associated data, subject to legal retention requirements;
- Export your data in a portable format;
- Object to certain processing of your information;
- Withdraw consent at any time, where we rely on consent.

7. Children's privacy
HostViewApp is not directed to children under the age of 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
8. International users
HostViewApp is operated from the United States and intended for U.S. customers. If you access the Service from outside the United States, your information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.
9. Changes to this policy
We may update this Privacy Policy from time to time. The "Effective date" above reflects the most recent version. Material changes will be communicated by email or by a prominent notice on the Service before the change takes effect.
